When you request a page, the web server necessarily receives technical connection data, including your IP address, request time, requested address, response status, referring page and browser information. Our hosting provider processes this data on our behalf so the site can be delivered securely and faults or attacks can be investigated. The legal basis is Art. 6(1)(f) GDPR; our legitimate interests are reliable, secure operation and abuse prevention. Ordinary server logs should be deleted after no more than 14 days unless a documented security incident requires longer retention. Aggregated Webalizer reports may remain available without being used to identify individuals.
Audience analytics runs only after you consent. If enabled, your browser receives a random identifier. We store a keyed one-way representation of it together with page path, time, referring domain, UTM campaign tags, selected language, broad browser/operating-system/device category, approximate city, region and country, consent version and decision time, and interactions such as starting audio, loading external media, or following an external link. The analytics database does not store your IP address, precise coordinates, full external referring URL, advertising identifiers, or fingerprint. Data is not combined with Council accounts or shared for advertising.
To estimate the city, our server sends the connection IP address to GeoJS after analytics consent. Berlin Footnote stores only the returned approximate city, region and country alongside analytics events, plus a pseudonymous visitor-keyed result cache for up to 24 hours; the IP address itself is not written to the analytics database. GeoJS may process the submitted address under its own terms. IP-based locations can be inaccurate, particularly on mobile networks, corporate networks, or VPNs.
The legal bases are your consent under Art. 6(1)(a) GDPR and Sec. 25(1) TDDDG. Analytics records and the optional identifier are retained for up to 180 days. You can withdraw consent at any time with the settings below. Withdrawal does not affect prior lawful processing.
YouTube, Transistor, Spotify and Bandcamp players remain blocked until you expressly choose to load external media. When loaded, the relevant provider receives connection data such as your IP address and browser information and may store or read information on your device under its own responsibility. The legal bases for loading are your consent under Art. 6(1)(a) GDPR and Sec. 25(1) TDDDG. You can instead follow an ordinary external link without enabling an embedded player. YouTube is operated by Google Ireland Limited; Transistor, Spotify and Bandcamp are external audio or media-platform providers. Their own Google privacy notice, Transistor privacy terms, Spotify privacy policy and Bandcamp privacy policy apply after loading or visiting them.
The TX001 interactive walk and authenticated Council route maps use MapLibre and map tiles from OpenFreeMap. Opening one of these maps requests the resources needed to provide the expressly requested interactive map; the tile host consequently receives technical connection data. We rely on Art. 6(1)(f) GDPR and, for necessary device access, Sec. 25(2)(2) TDDDG. Our legitimate interest is providing the core route-map function. OpenFreeMap states in its privacy policy that it uses no cookies and does not store IP addresses in ordinary logs.
The authenticated Council Live Atlas asks for precise location only when you choose “Start live drift” and grant the browser permission. During the current prototype, your coordinates are compared with node radii inside the open page; Berlin Footnote does not upload them, add them to your Council profile, or retain a route history. The requested map tiles can still reveal the approximate area being viewed to the tile provider. You can instead use the simulation or open nodes manually without granting location. Leaving the page stops the active location watch.
Essential storage includes your privacy choice for 180 days, the language preference you select, security/session data for Council login, and—inside Council—route drafts and tool state that you ask the browser to retain. These functions are not used for advertising. The privacy-choice and login storage is necessary to provide the requested settings and authenticated service.
Address and place-name search in the authenticated Council Route Builder runs only when you expressly submit a search. Berlin Footnote sends the query through its server to the public OpenStreetMap Nominatim service, which receives the query and technical connection data of our server rather than your browser’s direct connection. Do not submit private or confidential addresses. Search result sets are cached by Berlin Footnote for up to 30 days to reduce external requests; a result you choose becomes part of the stored route draft until you change or delete it. The lookup is a requested Council function under Art. 6(1)(b) GDPR. The Nominatim usage policy and OpenStreetMap Foundation privacy policy apply to the external lookup.
Gustav Speaks runs only when you expressly submit the consultation form. The city-level place query is sent through our server to the public OpenStreetMap Nominatim service; the resulting coordinates are sent to TimeAPI.io to identify an IANA timezone; and the date, time, coordinates and timezone are sent to Free Astrology API to calculate tropical planetary positions. Use a city rather than a street address. The providers receive the technical connection data of our server and the stated request data under their own terms and notices: the Nominatim usage policy, OpenStreetMap Foundation privacy policy, TimeAPI.io service information and Free Astrology API privacy policy.
Berlin Footnote caches city lookup results for up to 30 days and a rounded coordinate-to-timezone result for up to 180 days to reduce external requests; the cache keys do not contain the readable query. Guest birth details and charts are not retained by Berlin Footnote. If an authenticated Council member actively chooses “seal this chart”, the birth time, city, coordinates, timezone and calculated chart remain in the private Council profile until replaced, cleared or handled with the account-closure request. The legal basis is your consent under Art. 6(1)(a) GDPR, which you may withdraw for future processing.
When you request an event reservation, we process the name, email address, party size, preferred language, optional practical access requirements and participation note, confirmation and reservation status, and the necessary timestamps and private management-token hash. We use the details to confirm, operate, change or cancel that reservation and to send messages necessary for the event. The basis is Art. 6(1)(b) GDPR. This does not add you to a newsletter. Unconfirmed requests are removed shortly after the 48-hour confirmation window; cancelled reservations are removed within 180 days; confirmed and waiting-list records are removed within 90 days after the event, unless a legal obligation or active dispute requires limited longer retention. Do not put medical diagnoses or other sensitive information in the access field.
If you join the waiting list, we process the name, email address, language and consent record you submit to contact you about Council openings and closely related launches. The basis is Art. 6(1)(a) GDPR. We keep the entry until you withdraw, the list is closed, or the purpose ends. Council registration and account operation additionally process the details described in the Council privacy summary; required account data is processed under Art. 6(1)(b) GDPR and optional profile data with your consent.
Technical data is available only to us and service providers needed to host the site or supply content you explicitly enable. External providers may process data outside the European Economic Area using the transfer safeguards described in their notices. We do not sell personal data, use it for behavioural advertising, or make decisions with legal or similarly significant effects by automated means.
Subject to the statutory conditions, you may request access, correction, deletion, restriction, portability, or object to processing based on legitimate interests. You may withdraw consent at any time. You also have the right to complain to a supervisory authority; for Berlin, this is the Berlin Commissioner for Data Protection and Freedom of Information.
This notice documents the privacy-minimising configuration implemented by the site. Hosting contracts and the configured server-log retention should still be checked periodically, and material changes should receive professional legal review.
